LEWIS may collect your personal details, including but not limited to the information you provided in your CV. This could include your name and contact details, your e-mail address and other relevant information from your CV.
On occasions this may also include – video recorded interviews (sound and image) sensitive personal information such as details of criminal convictions and ethnic origin.

Whilst we will endeavour to update information about you if we are aware, you are responsible for making sure you give us accurate and up to date information.

If you are person based in the UK and Europe, your personal information may be accessible by or transferred or duplicated outside Europe, including to our other offices (e.g. the US, Asia or Australia) to enable LEWIS to provide you with the services you require from us, and to run our services more efficiently.
Job Alerts
To subscribe to LEWIS’ job alerts, you will be required to provide your name, company, e-mail address, or any other detail requested on the form. Information collected will be used for the purpose of keeping you informed regarding career opportunities at LEWIS.
Should you decide that you no longer wish to receive this information, unsubscribe links are provided in every email that you will receive.
Submitting your Curriculum vitae (“CV”)
You may submit personal information about yourself, including submitting your CV, via our website or by providing your CV to one of our employees. You may do this either to apply for a specific advertised job or for consideration by our HR and recruitment team, as and when come up.
Your CV will be stored in our systems and will be accessible by the our offices globally. Your CV may also be e-mailed directly to other LEWIS offices for review. You are able to withdraw your permission for your data to be processed outside the jurisdiction, if you write to the Data Protection Officer as set out in the detailed Privacy Policy.
You can update your CV at any time by following the same procedure as when you had submitted your CV previously, or by contacting the Data Protection Officer as set out below in the section titled, “Changing or removing your information”.
Interviews by video call
If a visit to the LEWIS office for an interview is not possible, we may invite you to attend an interview by video call. We may record your interview. This is to allow key team members, who may otherwise have met you, to hear from you in your own words. This will speed up the recruitment process for both you and LEWIS. Video recordings will be stored safely using Cloud services. They will only be made available to the relevant team members who need to access a recording to assess your application. Please see the section below titled “How long we will keep your information” to learn how long recordings will be kept on file. You can request removal of a video recording at any time by writing to the Data Protection Officer as set out below in the section titled “Changing or removing your information”.
Who we can share your information with
In order to provide the above described services, we may forward the personal information to other members of the LEWIS group of companies and external suppliers. We will endeavour to ensure those persons are bound to act strictly in compliance with the LEWIS Privacy Policy and use your personal data exclusively for the above purposes.
Apart from the above, we do not share personal information with companies, organisations and individuals outside of LEWIS, unless one of the following circumstances applies:
With your consent. We may share personal information with companies, organisations or individuals outside of LEWIS when we have your consent to do so.
For external processing. We may provide personal information to our affiliates or other trusted businesses or persons to process it for us, based on our instructions and in compliance with our Privacy Policy and any other appropriate confidentiality and security measures.
For legal reasons. We may share personal information with companies, organizations or individuals outside of LEWIS if we have a good-faith belief that access, use, preservation or disclosure of the information is reasonably necessary to:
How long we’ll keep your information
We store your personal information for as long as it is necessary for the purposes described above in the section titled, “How we’ll use your information”. If your job application is successful, personal data compiled during the recruitment process will be kept in your employment file and retained during your employment. The period for which employee data is held will be provided to you in a separate privacy notice.
If your job application is unsuccessful (including when you have speculatively applied to us), we will keep your information on file for up to 3 months, unless we need to retain it for longer to comply with applicable legal provisions or governmental requests, or to protect the rights and property of LEWIS.
Changing or removing your information
You have the choice to change your contact preferences at any time, to update your contact information, for us to stop contacting you, or to remove your CV and other information about you on our files. We will update your details if you submit these details to us. These requests should be addressed to the Data Protection Officer at [email protected].
