Purpose of Role
The Office Manager role at TEAM LEWIS will provide office operations and administrative support to the TEAM LEWIS San Diego office. This person will also provide executive and administrative support to the Vice President and other senior leaders, including some remote support to other offices across the US. This person will be a detail-oriented, conscientious, organized, creative team player with a positive attitude and should work well with all levels of staff. As San Diego is TEAM LEWIS’ U.S. headquarters this will be an important role in supporting the CEO, visiting leadership from around the world and U.S. team members.

Responsibilities / Tasks

  • Greeting clients and visitors to the office, ensuring guests are comfortable and are connected with the right office personnel
  • Maintain general office appearance, including conference rooms, kitchen, etc.
  • Maintain inventory and organization of office and kitchen supplies, including groceries, stationery, business cards, water, etc.
  • Receive and distribute mail and FedEx deliveries; assist with outgoing mail and packages
  • Coordinate internal and external events and meetings, including catering, conference room setup, vendor relations, etc.
  • Helping to manage the San Diego budget for culture, kitchen and office supplies
  • Assist leadership team and others with travel accommodations
  • Support the Culture Committee in planning office events including, employee appreation day, summer/winter outings, employee birthday’s and various other celebratory events
  • Provide light IT support for the office
  • Working directly with building management related to building needs such as AC, general maintenance and coordinating office access for visitors, vendors, etc.
  • Connect regularly with office head on all the above
  • Other projects and special assignments, as needed, with limited supervision

About You

Skills / Experience Required:

  • 2-5 years of proven office management experience or in a similar role providing administrative and executive C-level support
  • Self-motivated, takes initiative and thrives in a fast-paced environment
  • Excellent organizational skills with ability to execute projects autonomously
  • Excellent verbal and written communication skills with a strong command of the English language and grammar; must be able to compose correspondence; excellent proofreading skills
  • Ability to take full ownership of tasks and projects and initiative to go beyond what is asked
  • Ability to multi-task, set priorities, and meet deadlines
  • Confidence and ability to interact with people at all levels of the organization
  • Dependable and trustworthy
  • Must be personable, enthusiastic, approachable and courteous; a positive “can do” attitude
  • Intermediate knowledge of MS Office (Word, PowerPoint, Excel and Outlook) Concur travel, and expense experience is a plus
  • Basic working knowledge of IT functions and processes (remotely connecting computers to screens, etc.)
  • Problem-solving and basic troubleshooting skills
  • Agency experience is a plus


Additional Requirements:

  • Available to be on-site Tues-Thursday each week and Mon-Fri on some weeks when needed
