Purpose of role

The Administrative Assistant role at LEWIS will provide administrative and office operations support to the LEWIS San Francisco office. This will will also provide executive and administrative support to the Executive Vice President of LEWIS US and some remote support to other offices across the US. This person will be a detail-oriented, organized, creative team player with a positive attitude and should work well with all levels of staff.

Responsibilities / tasks

  • Manage our office reception area, greeting clients and guests and routing phone calls
  • Maintain general office appearance, including conference rooms, kitchen, etc.
  • Maintain inventory and organization of office and kitchen supplies, including groceries, stationery, business cards, water, etc.
  • Receive and distribute mail and FedEx deliveries; assist with outgoing mail and packages
  • Coordinate internal and external events and meetings, including catering, conference room setup, vendor relations, etc.
  • Manage executive calendar and coordinate travel
  • Prepare and process travel and corporate expenses as required
  • Provide assistance with copying, faxing, and distribution of materials
  • Maintain staff travel accounts
  • Other projects and special assignments, as needed, with limited supervision

Additionally, this position provides an opportunity to support various teams within the agency, including Public Relations, Digital/Social Media Marketing, Human Resources and Finance.

About you

Educational Requirements and Work Experience

A Bachelor’s Degree or equivalent combination of education and experience. 1- 3 years providing administrative and executive support at the C-level. Agency experience a plus.

Skills required: 

  • Self-motivated, takes initiative and thrives in a fast-paced environment
  • Excellent organizational skills
  • Excellent verbal and written communication skills with a strong command of the English language and grammar; Must be able to compose correspondence; Excellent proofreading skills.
  • Able to multi-task, set priorities, meet deadlines
  • Confidence and ability to interact with people at all levels of the organization
  • Dependable and trustworthy
  • Intermediate knowledge of MS Office (Word, PowerPoint, Excel and Outlook) Concur travel and expense experience a plus.
