A non-profit charitable entity, funded by TEAM LEWIS, the TLF makes grants to support individuals undertaking charitable activities and charitable organisations in achieving their goals. The TLF plays a constructive role in promoting social, cultural, economic, and environmental innovation that benefits society. It aims to strengthen the bonds between the communications industry, businesses, governments, and non-profits. In 2021, the TLF granted $1 million to small and large organisations all over the globe. The goal in 2022 is to grant $5 million. Community charities are championed by TEAM LEWIS’ employees, who volunteer their time and skills to provide marketing and comms support to maximise the grants’ effectiveness.

Purpose of the role

To provide effective and efficient finance support to LEWIS US, delivering a high level of accounting and finance service consistent with company and legal requirements.      

Key responsibilities and tasks

Treasury and cash management 

  • Posts incoming and outgoing cash for the US markets onto SAP/Netsuite
  • Maintains rolling cash flow forecast for the LEWIS bank account 
  • Prepares the monthly bank reconciliation ensuring all reconciling items are dealt with in an accurate and timely manner 

Accounts receivable

  • Drafts all Retainer and Project sales invoices 
  • Obtains approval for all sales invoices before sending them to the clients 
  • Responsible for continually chasing debts and maintaining a clean and current debt ledger 
  • Prepares a debt report for LEWIS US senior management and finance every two weeks 
  • Maintains accurate and fully reconciled account balances on all AR Business Partners in SAP/Netsuite 

Accounts payable

  • Obtains approval for all AP invoices before posting them into SAP/Netsuite in a timely and accurate manner 
  • Ensures the LEWIS US team obtain PO approval before committing LEWIS to expenditure 
  • Prepares bi-monthly supplier payment runs for approval by the Finance Manager (WE) before setting up payment  
  • Maintains all Supplier BPs in SAP, ensuring all outgoing payments are matched with valid invoices and all BPs are fully reconciled and their account balances are accurate 
  • Manages Visa card enquiries, while ensuring that the PO process is followed by the team  
  • Reviews all employee expense claims and ensures valid receipts and invoices are included for all expenses claimed by employees 

Tax compliance

  • Prepares accurate monthly and quarterly VAT reports for the region in a timely manner for review by the Finance Manager
  • Sets up Social Security payments in a timely manner 

Other finance responsibilities

  • Assists in the year end audit process for LEWIS US
  • Updates and maintains global finance wiki page  
  • Trains and educates non-finance colleagues to ensure finance processes are correctly fulfilled  

General

  • Is a cultural ambassador for the region: promoting initiatives, using social media channels to showcase our Finance activity and upcoming projects etc. 
  • Contributes and supports the continuous improvement of finance systems, practices and policies 


About you 

  • At least 2-3 years of experience
  • Strong finance generalist skill set – ideal if gained within an international company that is fast-moving, dynamic, and creative e.g. PR, advertising, marketing, broadcast, publishing, etc. 
  • Part qualified Accountant or working towards a professional accounting qualification  
  • Experienced in Accounts Receivable, Accounts Payable, and Intercompany accounting 
  • Sound knowledge and understanding of SAP Business One v9.0 or Oracle Netsuite
  • Collaborative self-starter with initiative, who is goal-driven 
  • Creative thinking “outside the box” to provide solutions and solve problems 
  • Proven record of managing projects through to completion 
  • Excellent presentation, written and verbal communication skills 
  • Strong attention to detail 
  • IT literate with a good working knowledge of Microsoft Excel. 
  • Well organised; ability to prioritise; attention to detail; a pragmatic approach 
  • Energetic, confident, charismatic - a credible team player
