Information for those dealing with our marketing team

This page sets out information relating to the data we process when you are liaising with TEAM LEWIS’ marketing team.

Our marketing team mainly collects contact information about you and contacts you regarding products and services provided by TEAM LEWIS, either by itself or along with its third party partners.

This page sets out what data we collect about you, as summarised in this page. You can also view additional information about our data security and ways to contact or make complaints in our Privacy Centre.

The information we collect

We collect:

  • Personally identifiable information – information that personally identifies one individual from another or enables you to be individually contacted (for example, names, e-mail addresses and other contact information)
  • Other incidental information – If you are attending our events, seminars, providing feedback, visiting our website, we may collect such details for our records
  • Aggregate user and tracking information – Details of your visits to any of our websites including, but not limited to, IP address, location data, weblogs and other communication data. This information gives us insights on our website visitors, clients and prospects, use our websites, what content is popular and what services we can provide to our clients in response.

This information about you is collected from a number of different places including:

  • Information that you provide by filling in forms on our site
  • You may contact us through the various means provided on the site and we may keep a record of that correspondence
  • You may complete surveys or other interactive elements of the site.

Whilst we will endeavour to update information about you when we discover changes, you are responsible for making sure you give us accurate and up to date information.

Information about Cookies

Our website uses cookies. A cookie is a small file of letters and numbers that we put on your computer if you agree. These cookies allow us to distinguish you from other users of our website, which helps us to provide you with a good experience when you browse our website and also allows us to improve our site.

We store the information you provide in a secure database in order to provide you with the information, products, and/or services you request and may be used to provide you with information about our services, invitations to events, thought leadership and opinion pieces and other similar materials which we believe may be of interest to you. The information is stored for a time period and in a manner relevant to responding to your request unless you request that it be removed. The information you provide us will be shared with our employees and external suppliers to the extent necessary to administrate our systems and/or accommodate your requests.

In addition, we will use your information to:

  • respond to your questions and fulfil your requests, such as sending you newsletters
  • to present you a personalised experience on our website in order to easily find the information which you are interested in
  • to send you marketing communications via email, phone, social media, mail or via any other means you provided, in compliance with applicable laws, that we believe may be interesting to you
  • to send you useful information, for example, changes to our terms, conditions, and policies or new modifications on our site.

The aggregate information will be to improve the navigation, content, and design of the website.

When personal information is transferred to outside service providers, it is done under a contract which requires the companies to use the shared information only for the limited purposes for which it is provided to them in providing services to TEAM LEWIS, and to agree to hold the information securely and confidentially in accordance with this privacy policy and applicable law.

We’ll only use your information where we’re allowed to by law. For example, carrying out an agreement or contract we have with you, fulfilling a legal obligation, where we have a legitimate business interest or where you agree to it.

Who we can share your information with

In order to provide the above described services, we may forward the personal information to other members of the LEWIS group of companies and external suppliers. We will endeavour to ensure those persons are bound to act strictly in compliance with this Privacy Policy and use your personal data exclusively for the above purposes.

Apart from the above, we do not share personal information with companies, organisations and individuals outside of TEAM LEWIS, unless one of the following circumstances applies:

  • With your consent. We may share personal information with companies, organisations or individuals outside of LEWIS when we have your consent to do so.
  • For external processing. We may provide personal information to other TEAM LEWIS offices or other trusted businesses or persons to process it for us, based on our instructions and in compliance with our Privacy Policy and any other appropriate confidentiality and security measures.
  • For legal reasons. We may share personal information with companies, organizations or individuals outside of TEAM LEWIS if we have a good-faith belief that access, use, preservation or disclosure of the information is reasonably necessary to:

How long we’ll keep your information

We store your personal information for as long as it is necessary to provide the services to you described above, for as long as it is necessary to comply with the applicable legal provisions or governmental requests, or to protect the rights and property of TEAM LEWIS.

Rights

Under EU Data Privacy Law, relevant individuals have a number of rights relating to their own information. This includes seeing what LEWIS holds and to object to or restrict processing of it. Further details are set out in the Privacy Centre.

Changing or removing your information

You have the choice to change your contact preferences at any time, to update your contact information, or for us to stop contacting you. We will update your details if you submit these details to us. These requests should be addressed to the Data Protection Officer at [email protected].
