Information for those dealing with our careers team

This notice covers all interactions with our HR/careers team regarding career opportunities at LEWIS. This includes:

  • Applications made through teamlewis.com and other LEWIS group websites
  • Applications made through third party platforms that we use, such as LinkedIn and Jobvite
  • Contact made between LEWIS employees and you, regarding firm or potential job opportunities at LEWIS.

The information we collect

LEWIS may collect your personal details, including but not limited to the information you provided in your CV. This could include your name and contact details, your e-mail address and other relevant information from your CV.

On occasions this may also include – sensitive personal information such as details of criminal convictions and ethnic origin.

This information about you is collected from a number of different places including:

  • directly from you – when you interact with us via our website, email, telephone or in person. This could be at a careers fair, at a recruitment day or when we interact via social media
  • from third party organisations – it may come from a recruitment agency that represents you, your application could be submitted via a third party website (e.g. LinkedIn or Jobvite), or through word of mouth
  • from publicly available sources – your details may be available via your employer, on websites and on social media
  • when we generate it ourselves – where we review and assess your application and CV.

We will only collect your information in line with relevant regulations and law.

Whilst we will endeavour to update information about you if we are aware, you are responsible for making sure you give us accurate and up to date information.

How we’ll use your information

This information is held, used and disclosed by us as follows:

  • to maintain our relationship, where you are a user of our website or candidate;
  • to enable you to submit your CV for general applications, to apply for specific jobs or to subscribe to our job alerts;
  • to match your details with job vacancies, to assist us in matching you with a position at LEWIS that is most suitable for you;
  • to answer your enquiries;
  • to advise you of our careers opportunities, events, promotions and other information;
  • to enable the development and marketing of our careers pages and our website generally to improve our customer service and to make our services more valuable to you;
  • to trusted third parties where we have retained them on matters such as reference, qualification and criminal reference checking services (as required), verification of the details you have provided, including your education history and your right to work, psychometric evaluations or skills tests;
  • to third parties who perform functions on our behalf and who also provide services to us, such as professional advisors, IT consultants carrying out testing and development work on our business technology systems, research and mailing houses and function co-ordinators;
  • we may also pass your personal information to, or allow access to such information by, members of the LEWIS Group, to enable them to use your personal data for the purposes set out above, depending on which job you are seeking or the location where you are seeking a job;
  • we may release personal information to regulatory or law enforcement agencies, if they require us to do so. We will also disclose your information where we are permitted and requested to do so by law; and
  • we may also seek your consent to collect, hold, use and disclose your personal information for any other purpose not listed above.

If you are person based in the UK and Europe, your personal information may be accessible by or transferred or duplicated outside Europe, including to our other offices (e.g. the US, Asia or Australia) to enable LEWIS to provide you with the services you require from us, and to run our services more efficiently.

Job Alerts

To subscribe to LEWIS’ job alerts, you will be required to provide your name, company, e-mail address, or any other detail requested on the form. Information collected will be used for the purpose of keeping you informed regarding career opportunities at LEWIS.

Should you decide that you no longer wish to receive this information, unsubscribe links are provided in every email that you will receive.

Submitting your Curriculum vitae (“CV”)

You may submit personal information about yourself, including submitting your CV, via our website or by providing your CV to one of our employees. You may do this either to apply for a specific advertised job or for consideration by our HR and recruitment team, as and when come up.

Your CV will be stored in our systems and will be accessible by the our offices globally. Your CV may also be e-mailed directly to other LEWIS offices for review. You are able to withdraw your permission for your data to be processed outside the jurisdiction, if you write to the Data Protection Officer as set out in the detailed Privacy Policy.

You can update your CV at any time by following the same procedure as when you had submitted your CV previously, or by following the information below.

Who we can share your information with

In order to provide the above described services, we may forward the personal information to other members of the LEWIS group of companies and external suppliers. We will endeavour to ensure those persons are bound to act strictly in compliance with the LEWIS Privacy Policy and use your personal data exclusively for the above purposes.

Apart from the above, we do not share personal information with companies, organisations and individuals outside of LEWIS, unless one of the following circumstances applies:

With your consent.
 We may share personal information with companies, organisations or individuals outside of LEWIS when we have your consent to do so.
For external processing. We may provide personal information to our affiliates or other trusted businesses or persons to process it for us, based on our instructions and in compliance with our Privacy Policy and any other appropriate confidentiality and security measures.
For legal reasons. We may share personal information with companies, organizations or individuals outside of LEWIS if we have a good-faith belief that access, use, preservation or disclosure of the information is reasonably necessary to:

    • meet any applicable law, regulation, legal process or enforceable governmental request;
    • enforce a contract;
    • detect, prevent, or otherwise address fraud, security or technical issues;
    • protect against harm to the rights, property or safety of LEWIS, our users or the public as required or permitted by law.


How long we’ll keep your information

We store your personal information for as long as it is necessary to provide the services to you described above, for as long as it is necessary to comply with the applicable legal provisions or governmental requests, or to protect the rights and property of LEWIS. 

Changing or removing your information

You have the choice to change your contact preferences at any time, to update your contact information, for us to stop contacting you, or to remove your CV and other information about you on our files. We will update your details if you submit these details to us. These requests should be addressed to the Data Protection Officer at [email protected].
